How we collect, use, protect, and disclose information across the academy website and portals.

Scope

This Privacy Policy explains how Red Dot Shooting Academy (“RDSA,” “we,” “our,” or “us”) collects, uses, discloses, stores, and protects information through the public website, student portal, booking system, digital waiver system, payment workflows, contact forms, gallery, certificates, and related academy services.

By using these services, you acknowledge the practices described in this Policy.

Information We Collect

Information you provide

  • Name, email address, telephone number, mailing address, date of birth, and emergency-contact information.
  • Student profile information, course interests, reservations, attendance, transfers, removals, no-show history, training notes, qualifications, and certificates.
  • Digital waiver information, typed signatures, timestamps, device and network evidence, and copies of identification where required.
  • Payment-related information such as order numbers, transaction references, refund details, Zelle sender information, uploaded payment proof, and payment status.
  • Messages, support requests, survey responses, testimonials, and other information submitted through the website or portals.

Information collected automatically

  • IP address, browser type, device type, operating system, referring page, requested pages, timestamps, session identifiers, and security logs.
  • Cookie and analytics information where those tools are enabled.

How We Use Information

  • Create and manage student accounts, reservations, course rosters, payments, refunds, waivers, certificates, and attendance records.
  • Communicate about registrations, payment status, required waivers, schedule changes, reminders, safety information, transfers, cancellations, and refunds.
  • Verify Zelle submissions and reconcile payments with bookings and rosters.
  • Protect students, instructors, staff, visitors, systems, facilities, and the public.
  • Detect misuse, fraud, account compromise, duplicate transactions, or unsafe activity.
  • Operate, maintain, secure, troubleshoot, and improve the website and portals.
  • Comply with applicable law, legal process, insurance requirements, recordkeeping obligations, and legitimate business needs.

Payments

Card payments may be processed by Stripe or another authorized processor. RDSA does not intend to store full payment-card numbers or card security codes on its own servers. Payment processors may collect and process information under their own privacy policies.

Zelle payments are verified manually. We may collect the sender name, sending date, sender contact detail, bank confirmation reference, uploaded proof of payment, verification notes, refund references, and staff audit information. A screenshot alone does not establish that funds were received.

Photographs, Video, and Audio

RDSA may capture photographs, video, or audio during classes, academy events, demonstrations, safety reviews, or other academy-related activities for instructional, documentation, operational, security, historical, and promotional purposes, subject to any required consent or opt-out process.

We do not sell or license identifiable student photographs or videos to unrelated third parties for their independent advertising or commercial marketing. Media may be disclosed to service providers acting for RDSA, insurers, legal advisers, regulators, emergency personnel, or law enforcement when reasonably necessary, legally required, supported by valid legal process, or needed to protect the safety, rights, property, or security of students, instructors, staff, visitors, RDSA, or the public.

Public gallery or testimonial use will follow the permissions and policies applicable to that media. A student may contact RDSA with a reasonable request concerning an identifiable public image, although removal may not be possible where continued retention is legally required or the image forms part of an official safety, incident, training, or evidentiary record.

When We Share Information

We do not sell personal information. We may disclose information to:

  • Payment processors, email providers, hosting providers, security vendors, storage providers, and other service providers supporting academy operations.
  • Instructors, staff, range operators, and contractors who need the information to perform authorized duties.
  • Insurers, auditors, accountants, attorneys, and professional advisers.
  • Government agencies, courts, regulators, emergency responders, or law enforcement where required by law or reasonably necessary for safety, security, fraud prevention, or legal claims.
  • A successor entity in connection with a merger, acquisition, financing, reorganization, or sale of business assets, subject to appropriate protections.

Data Retention

We retain information for as long as reasonably necessary to provide services, maintain training and financial records, resolve disputes, enforce agreements, support safety and insurance needs, and comply with legal obligations. Retention periods vary by record type.

Deletion requests may be limited where records must be retained for legal, financial, safety, waiver, insurance, fraud-prevention, or evidentiary purposes.

Security

We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information. These may include access controls, private storage, role-based permissions, HTTPS, password hashing, security logging, backups, and limited credential access.

No system is completely secure. Students should use strong passwords, protect account access, and promptly report suspected unauthorized activity.

Privacy Choices and Requests

You may request access to or correction of certain personal information, ask questions about retention, or request deletion where applicable. We may need to verify identity before acting on a request.

Depending on applicable law and the nature of our operations, additional rights may apply. RDSA will evaluate requests under the laws that apply to the request and the academy.

Minors

RDSA services are not directed to children who are too young to participate under academy policy. A parent or legal guardian may be required to create, authorize, or supervise an account or registration for an eligible minor and to complete required consents and waivers.

Policy Changes

We may update this Policy to reflect changes in law, technology, services, payment methods, training operations, or business practices. The revised version will be posted with a new effective or updated date.
